The bot does not collect, monitor, or store personal data. It operates fully within Discord’s Terms of Service, and does not access or process private messages (DMs) or sensitive user information. Its presence is limited to public functions within the server only.

13. Staff Notification System via Discord

To improve response times without requiring staff to stay constantly logged into support panels, Akashi Hosting uses a lightweight internal notification system...

This system transmits limited ticket metadata to a private, staff-only Discord channel using a secure webhook. The following information may be included in the alert:

Ticket subject/title
Short description (if provided)
Priority level
Assigned department

No personally identifiable information (e.g., customer name, email, IP address) is included in these alerts. The data is used strictly to keep staff attentive and responsive during support operations, and is not stored or processed further within Discord.
